Article I. Organization:
 
Section 1. Name. Johnson/Davis Family Reunion
 
Section 2. Location. Deleon Springs/Deland, Florida will be the home location.
The principle office of this organization shall be located in the city of the President.
 
Section 3. Chapters. The family organization shall consist of four (4) chapters that will host reunions annually. The four chapters are as follows: (a) DeLeon Springs/DeLand; (b) St. Petersburg/Tampa;
(c) Georgia; (d) Riviera/West Palm Beach. Chapters will elect officers and report to the governing board president as deemed appropriate. Chapters are financially responsible for expenses of their reunion, and must balance the budget of the reunion, based on the reunion fees and guest guidelines as specified in Article VIII.
 
Section 4. Hosting Rotation.  The established permanent rotation sequence is as follows:
  1. St. Petersburg/Tampa          The fourth weekend of July 2010
  2. Georgia:                               The fourth weekend of July 2011
  3. Riviera/West Palm               The fourth weekend of July 2012
  4. DeLeon Springs/DeLand    The fourth weekend of July 2013
 
This established rotation sequence continues every year. Each chapter will host the Annual Family Reunion every four years minimally. With approval by the body, someone within or outside a chapter may interrupt the rotation by volunteering to host the reunion, but, will not change the permanent rotation hosts, nor the sequence of the rotation.
 
 
Article II. Purpose:
 
Section 1. The purpose of this organization is to promote harmony and bond of kinship among our
family members and to encourage continuous respect and pride to each generation of
our family heritage. Social unity is promoted within this organizational process.
 
 
Article III. Members:
 
Section 1. The membership of this organization shall be primarily family members of Susie Davis and Harry Johnson.
 
 
 
 
 
Article IV. Governing Board Officers:
 
Section 1. The officers of the governing board of the family shall be a President, Vice President,
Secretary, Treasurer, Historian. The four (4) Chapter Presidents are also members of the governing board. Each chapter may also elect chapter officers as the affairs of the chapter may require of their organization.
 
 
Article V. Duties of Officers of the Governing Board:
 
Section 1. The President of Governing Board:
  1. Shall preside at all annual meetings and take the lead in all official business of the organization
  2. Shall monitor compliance to the By Laws by all Chapters and Governing Board Officers
  3. Must review major contractual agreements (such as lodging guarantees, banquet rooms, food, activity transportation, entertainment and other major expense items) in a timely manner before any Chapter can sign a contract.
 
Section 2. The Vice President shall assist the president and take charge if the president is unable to act.
 
Section 3. The Secretary shall keep records of all proceedings at all business meetings and shall
assist in all family correspondence. Collect input, update and maintain a current and accurate Master copy of Reunion Members Mailing List (to minimally include name, address, phone numbers, emails addresses, [over 80 & 0-3 ages only], [remove deceased names]) and provide it to the reunion hosting chapter or as needed.
 
Section 4. The Treasurer of the governing board shall maintain and disburse funds of the treasury as approved and specified by the Johnson/Davis Family Reunion Bylaws and governing board. The Treasurer of the governing board shall receive, receipt and deposit all monies and assessments presented to the Family Reunion Treasury from the chapters. The Governing Board Treasurer shall keep detail records of all receipts and expenses from host chapters, and seed monies as well as provide and present a detail report of funds and activities at the Family Reunion Business meeting.  The Governing Board Treasurer will advance funds, from the treasury or seed money as referenced in Article VII, to the Family Reunion host chapter as needed to cover early upfront expenses such as banquet room and park rental reservation deposits, etc.  Each host chapter will collect, receive, receipt and deposit all monies and maintain detail records of all receipts of chapter funds as appropriate in preparation of the family reunion. In a timely manner, after the family reunion, the host chapter shall reconcile collected revenues and disbursed expenses, and then submit resulting excess funds, with a detailed receipt and expenses report to the Governing Board Treasurer for maintenance in the Family Reunion Treasury.
 
Section 5. The Historian shall compile and research all Johnson/Davis family history and present family history topics and updates at the family reunion.
 
Section 6. Chapter Presidents:
a. Shall coordinate or delegate the annual family reunion when his/her Chapter is responsible.
b. Shall gather and disburse information to family members no later than January of the reunion year
c. Shall review major contractual agreements with President of Governing Board before signing as outlined in Article V Section 1 above.
d. Shall make progress reports to the President of the governing body and follow financial procedures outlined in Article VIII below
e. Shall nominate Scholarship candidates from Chapter members by June 1 of the reunion year.
 
 
Article VI Election of Officers of the Governing Board:
 
Section 1. Election of Officers for the governing board shall be held annually at the Family Reunion Business Meeting
 
Section 2. Term of office is one (1) year. There are no set numbers of years officers can serve in succession
 
Section 3. Nominations for candidates for offices may come from the floor during the meeting
 
Section 4. Voting for officers shall be done by a show of hands at the annual business meetings of the Johnson/Davis Family Reunion
 
Section 5. Eligible Voters of this organization shall be 16 years and older family members of the Johnson/Davis Family
 
Section 6. The President shall appoint a replacement for Office Vacancies to complete the term of an officer, other than Chapter President who must be elected by the local Chapter.
 
 
Article VII. Meetings:
 
Section 1. ANNUAL MEETINGS. A annual business meeting shall be held during every
Johnson/Davis family reunion. The host chapter and the President shall determine the time and place.
 
Section 2. CHAPTER MEETINGS. Regular meetings of the chapter shall be scheduled in
preparation for the family reunion by the host chapter. Chapter shall start holding regular meetings early enough to host a desirable reunion and provide adequate notices to attendees.
 
Section 3. SPECIAL MEETINGS. Special meetings may be called by the president of the body
or chapter president or members of the host chapter as necessary.
 
Section 4. QUORUM. A quorum shall consist of family members present at the announced time
and place, given that said meeting is announced to all members of organization or chapter.
 
 
Article VIII. Fiscal Policies and Fiscal Duties
 
Section 1. Financial Responsibility To Balance Budget. Chapters are financially responsible for expenses of their reunion, and must plan to balance the budget of the reunion, based on the approved reunion fees and guest guidelines. All reasonable attempts should be made to estimate and validate, as accurately as possible, the attendance expected for the reunion. All reasonable considerations should be given to keep planned expenses/costs in line with or below the expected receipts/revenues.
 
Section 2. Deposits. All funds collected shall be deposited in bank accounts established by the treasurer and the chapters.
 
Section 3. Checks, Drafts, Etc. All checks, drafts or other orders for payment of money, or other evidence of indebtedness issued in the name of the family organization shall be signed by two officers of the organization. Each chapter will also require two signatures.
 
 
Section 4. Reunion Fees.
  1. The maximum amount of Reunion fees will be $65.00
  2. Lower Reunion Fees for children (give age ranges) may be appropriate
  3. The Reunion Fee does not include personal travel/transportation, hotel/room, unplanned/unannounced meals, T-shirts nor scholarship funding
  4. Members 80 years and over will be the guest of the reunion and will not pay Reunion Fees.
  5. Member Children 0-3 will not be assessed reunion fees
  6. There is a One Time assessment of $500 Seed Money from each Chapter due by July 1, 2012 in order to provide funds and establish an initial Johnson/Davis Family Reunion treasury.  
  7. The Governing Board of the Johnson/Davis family may conduct a vote of the members of the organization to change fees at any annual meeting as deemed necessary. 
 
Section 5. “Seed” Money. All monies collected as startup money shall be reimbursed after expenses are met. Any money left over shall be forwarded to the Governing Board Treasurer for maintenance of Reunion funds that will be available for advance funding of subsequent reunions. Members of the host chapters will determine the maintenance or disbursement of funds during their reunion. If the Family Reunion Treasury is depleted or is deemed too low, then the organization may vote to assess each chapter a designated amount to constitute “Seed” money to replenish the Family Reunion Treasury.
 
Section 6. Donations. Any family member may make donations to the Family Reunion Treasury for use as deemed appropriate for the continuation of the reunions.
 
 
Article IX. Reunion Content
 
Section 1. Reunion Date. Reunions shall be the 4th weekend (Saturday) in July. Chapters shall plan all activities around this weekend or post weekend.
 
Section 2. Content of Reunion. Every reunion shall include in its agenda planned meals, recreation, entertainment, an annual business meeting, family history and update of history by chapters and family worship time. The host chapter shall make the final plans for the reunion.
 
Section 3. Mailings:
  1. Mailing List. Every known family member shall be informed in writing by letter or electronically by the host chapter of plans for the “Johnson/Davis Family Reunion.” Each host chapter shall acquire the current list of family members from the Governing Board Secretary. Family member name, address, phone, email new or changed information shall be updated at every reunion and provided to the Governing Board Secretary to update the Master Mailing List.
  2. Notification of Intent for the Reunion. Hosting Chapter shall announce the upcoming reunion with date and city in writing by mail or electronically before the end of January of reunion year.
  3. Detail Info. Hosting Chapter shall also provide detailed information on the reunion hotel, directions, general schedule of events, etc. in writing by mail or electronically in sufficient time for attendees to register and adequately plan. Other correspondence as deemed necessary.
 
Section 4. Fundraisers. Chapters are strongly encouraged to work together during the year to raise funds to offset the cost of unexpected expenses and to have Family Reunion “seed” money or scholarship funds as appropriate.
 
 
Article X. Scholarship:
 
Section 1. Scholarship. A scholarship fund will be established by the governing board for family members who are beginning entrance into any post-secondary institution of higher learning, education or training. Each chapter and family will be asked to contribute. Scholarship money collected will be distributed equally among the approved recipients.  Nominations must be received by the President from the Chapter Presidents by June 1 prior to the reunion to allow time for proof of acceptance.
 
 
 
 Article XI. Order:
 
Section 1. This organization shall be administered and governed by the Johnson/Davis Family Reunion by-laws.  The proceedings and deliberations of this organization shall be conducted under the Roberts Rules of Order.
 
 
Article XII. Amendments:
Section 1. These by-laws may be amended or altered at the Johnson/Davis Family Reunion annual
business meeting by a simple majority vote of members present. The Chapter President must submit proposed amendments changes to Governing Board President in writing by May 1 prior to the meeting.
 
 
 
 
Article XIII. Governing Board Meeting Quorum
 
Section 1. These by-laws were amended at the Johnson/Davis Family Reunion annual business meeting on July 28, 2012 to set the Governing Board Meeting Quorum.
 
Section 2 A Johnson/Davis Family Reunion Governing Board quorum shall require 51% of Board members present at the announced time and place of the meeting. Also, matters voted on at said meetings require simple voting majority of 51%.
 
 
 
 
 
 
 
 
Article XIV.  Adoption of Family Creed
 
Section 1.  These by-laws were amended at the Johnson/Davis Family Reunion annual business meeting on July 28, 2012 to set the Adoption of the Family Creed.

Article XV.  Adoption of Family Song
 
Section 1.  These by-laws were amended at the Johnson/Davis Family Reunion annual business meeting on July 28, 2012 to set the Adoption of the Family Song..
